Missing customers in Balance report?

QUESTION:

When I run the Balance Report to get the balances of my customers, it shows a different amount of customers than when I run an All Customers report, and that is also a different number than it shows on my "total campaign customers" column on the control panel.

 

ANSWER:

This is because each report and status is based on an intersection of various criteria:

  • The "Customer Balance" Report
    The "Customer Balance" report only shows customers that have had at least one transaction. Some of the customers in the "Balance Report" may or will show a zero balance because they have had at least one transaction and one redeem event that brought their balance back down to zero.
    The reason we don't show customers without transactions in the "Balance Report" is because some of our clients complained that showing a large amount of "latent" customers in the balance report was creating large export files.

  • The "All Customers" Report
    The "All Customers" report shows all the customers in the selected campaign(s) that have at least on transaction OR have been associated (added) to the selected campaigns.  The resulting total customer quantity is usually higher than that of the "Balance Report" total customer quantity since there are usually some customers who have been entered into the system but have not had a transaction yet.  

  • The "Campaign Customers" Column in the Control Panel
    This should report the same number as if you ran a "All Customers" report for only that campaign.  If there exists a discrepancy, it is often due to importing transactions that do not have a corresponding or existing customer record.
    To put it another way: The "All Customers" Report counts all Customers Records that are associated with OR have a transaction in a campaign, whereas the "Campaign Customers" count shows the total number of unique ids (customers) that have transactions in that campaign, regardless if there is an existing Customer Record in the database.  These differences occur ONLY as a result of using the import tool to do bulk imports of customer records or transactions.


  • The Total Customers" number for the account
    This number simply counts the total number of customers that exist in the Customer Table for your account in our database.  It is sometimes the case that a bulk-import has added a lot of customers to that table that haven't been added to any campaign or had any transactions in any campaign.  Simply importing a list of customers does not automatically add them to any particular campaign.  It may also be the case that the total number of customers reported is less that what is counted for a particular campaign. This is again due to importing transactions that do not belong (yet) to customers that may be imported at a later date.
